The type of personal information we collect 

We currently collect and process the following information from parents or legal guardians who get in contact with us:

• Name (your first name and surname).
• Contact details (your email address, telephone number and postal address). 
• Nature of your relationship to the child, for example parent or legal guardian.
• Information which is relevant to the education of your child.
• If you decide to purchase services from us, we will take payment information from you so that we can process your payment.

We currently collect and process the following information about your child:

• Full name.
• Address.
• Contact details (if different from yours).
• Date of birth.
• Schooling related information, which we need to assess the type of services we recommend for your child, and to enable us to provide those services to them.
• Gender.
• Health-related and other information relevant to our being able to teach your child in the most effective way, for example medical diagnoses that may affect your child’s ability to learn or make progress in a learning environment, and details of any educational health care plan (EHCP) that may be in place for them.
• As we work with your child, we will accumulate information in relation to their work and how they are progressing.

In the course of providing services to you, we may also ask for or receive broader contextual information about your child, their parents or legal guardians, and their wider family. Getting to know the child is an essential part of how we work effectively with them, and sometimes they or you might tell us information about your child’s lifestyle, interests and skills, or about their family, for example how the family is structured, what their parents do for a living, or any background issues that may be relevant to how we work with them, such as whether your child is a native English speaker, and whether English is the primary language spoken at home.  

We will not take or publish photographs of your child, or publish their name, without the express consent of their parent or legal guardian. If you do give us your consent, it can be withdrawn by you at any time by letting us know in writing or by email.

 

How we obtain the personal information, and why we have it

Most of the personal information we process is provided to us directly by you, for one of the following reasons:

• To enable us to assess your child’s needs, and to determine what services we can provide to assist them with those needs.
• To enable us to fulfil our contractual obligations to you if you decide to engage us, and to respond to any enquiries you may have.
• To work with you and your child to provide the services we have agreed on.
• To administrate, and to ensure the quality of, the services we provide.
• To seek feedback from you about the services we provide.
• To communicate with you about any operational issues we may have, such as the need to cancel a session (for example due to illness or bad weather), or to make you aware of any changes to our sessions, for example a change of venue, date or time.
• To record and report to you on your child’s progress.
• To consider, record and communicate to you any other issues which we feel may be impacting on or related to the progress of your child.
• To respond to complaints.
• To ensure vital interests relating to the health and safety of a child. For example, if there is a medical emergency while your child is with us, we may need to provide relevant medical information about them to the emergency services. We may also in very rare circumstances for reasons of safeguarding, welfare and/or child protection, be required to provide information to local or public authorities, including the police.
• We may from time to time provide you with information about further or additional services we offer, which we feel may be beneficial to your child.
  If you do not wish us to contact you about these, please let us know.

Under the UK General Data Protection Regulation, the lawful bases we rely on for processing this information are:

• Your consent. You can withdraw your consent at any time by contacting privacy@chatty-chatterboxes.co.uk. 
• We have a contractual obligation.
• We have a vital interest.
• We have a legitimate interest.

How we store your personal information 

Your information is securely stored.

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint, or if we reasonably believe there is a prospect of litigation regarding our relationship with you.

To comply with the law, we must keep some basic information about our clients for six years after they cease being clients for tax, accounting and legal purposes.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
